Privacy Policy

This Privacy Policy explains how FIT Solutions Corp (“PropTraq”, “we”) collects, uses, and protects information when you use the PropTraq platform.

Information We Collect

  • Account information: name, email, phone number, and the role you select during registration (Tenant, Property Owner, Property Manager, or Vendor).
  • Property and tenancy data: property address, unit details, lease dates, and relationships between owners, managers, tenants, and vendors that you or your property owner enter into the platform.
  • Maintenance request content: descriptions, photos, and videos you submit when reporting maintenance issues.
  • Usage data: pages visited, actions taken, IP address, and device/browser information, used to operate and improve the service.

How We Use Your Information

  • To provide property management, maintenance-request, and vendor-dispatch services you request.
  • To send transactional messages by SMS or email (one-time verification codes, invitation codes, maintenance-request status updates, and emergency alerts). We do not send marketing messages.
  • To match maintenance requests to qualified vendors based on specialty and service area.
  • To operate, secure, and improve the platform.

SMS Messaging

You opt in to SMS messaging by entering your phone number during registration or when accepting an invitation and tapping Send Code or Send Verification Code. We send only transactional messages:

  • One-time verification codes
  • Tenant invitation codes
  • Maintenance-request status updates (assigned, scheduled, completed)
  • Emergency maintenance alerts for urgent repairs

Typical frequency is 2-10 messages per month per user. Message and data rates may apply. Reply STOP at any time to opt out. Reply HELP for help. You can also email support@proptraq.ai to manage your messaging preferences.

How We Share Information

We share information only as needed to operate the service:

  • Between users who have an existing relationship on the platform (e.g. a property owner and their tenants, a tenant and the vendor assigned to their maintenance request).
  • With service providers that help us operate the platform (Microsoft Azure for hosting, Azure Communication Services for SMS and email delivery, Stripe for payment processing).
  • When required by law, subpoena, or to protect the rights and safety of users.

We do not sell or rent your personal information.

Data Retention

We retain account and property data for as long as your account is active. Maintenance-request records are retained for the life of the associated property relationship. You may request deletion of your account and data at any time by contacting support@proptraq.ai.

Security

We use Microsoft Azure infrastructure with encryption in transit and at rest, role-based access controls, and audit logging. No system is 100% secure; report suspected issues to security@proptraq.ai.

Your Rights

Depending on your location, you may have the right to access, correct, export, or delete your personal information. Contact support@proptraq.ai to exercise these rights.
